Building an action plan is a key step to successfully achieving goals and increasing productivity in any area of life. It is a process that helps you prioritize, assign resources, and delegate tasks. In this article, I will go over the basic steps to making an effective action plan that helps you reach your goals and increase your productivity.

I’ll discuss:

✔️ setting goals
✔️ analyzing the situation
✔️ preparing a plan of action
✔️ delegation of tasks
✔️ managing the process
✔️ process monitoring
✔️ evaluation and adjustment

#step 1: setting goals

The first step in creating an action plan is to define clear and specific goals. Goals should be SMART: specific, achievable, measurable, relevant, and time-bound. Define what you want to achieve and what results you expect to achieve in the end.

Example of SMART goal setting ⬇️

SPECIFIC: I gonna write a 40,000 word novel

MEASURABLE: I’ll finish writing 40,000 words in 6 months.

ACHIEVABLE: I’ll write 1,500 words a week.

RELEVANT: I’ve always dreamed of becoming a professional writer.

TIME-BOUND: I’ll start writing tomorrow, July 20, and finish on January 20.

Summary: I gonna write 40,000 words novel in 6 months and finish it on January 20, for which I’ll write 1,500 words a week.

#step 2: analyzing the situation

Once you have defined your goals, it’s important to conduct a situation analysis to understand the current status and possible obstacles to achieving your goals. Identify the resources that can help you achieve your goals.

Example:

What might keep me from accomplishing my goals

  • lack of a computer to write a novel
  • unforeseen circumstances, illness, disasters, etc
  • lack of inspiration

What can help me

  • artificial intelligence
  • special program for writers

It seems to me that the analysis could be helpful to maximize the clarity of your possibilities, timeframes and progress 😇

#step 3: prepare an action plan

So far you have identified goals and analyzed the situation, it’s important to create an action plan that includes the specific steps necessary to achieve your goals. Dividing all tasks into small subtasks and assigning due dates to them.

Example:

What do you need to do every month

What do you need to do every week

What do you need to do every day

By assigning tasks in this way, you’ll be able to track progress, develop self-discipline. It’ll be easier to cope with tasks. If you fail, you’ll know that you have done the maximum, the rest did not depend on you.

# step 4: delegation of tasks

Delegation of authority is used to improve and optimize the work force of the manager or the giver of authority. The essence of this concept is that those working on a particular problem as executors are willing to provide consolidated information to the direct manager.

In management theory, delegation of authority has the following main objectives:

  • freeing up the delegated time for tasks in which it is more difficult or impossible to replace him or her
  • increasing the motivation of those to whom authority is delegated
  • increasing trust in the work team
  • test employees for performance

For better efficiency, distribute tasks among your team members, taking into account their skills and strengths. This will help speed up the process of completing tasks and reduce the workload of one person. It’s good for business, for large projects. For personal and individual goals, you can delegate some tasks to artificial intelligence.

#step 5: managing the process

For larger goals and projects

  • hold meetings with your team every day or week to discuss progress
  • address issues that arise, and clarify deadlines

This will help you monitor the process and make adjustments as needed.

For smaller goals and projects

Check progress every day or week to see what has not been accomplished, find reasons and answers, and change the action plan to a more effective one 💪

#step 6: process monitoring

Progress monitoring allows you to see how you are getting closer to achieving goals. I would be to use progress tracking tools such as spreadsheets, graphs, or apps to easily see which tasks have been completed and which still remain.

For instance 😉

#step 7: evaluation and adjustment

Review at the conclusion of each reporting period, to see which of your goals were accomplished and which will require additional attention. Assess what you learned in completing the tasks and correct your action plan, as necessary, to improve future performance.

To summarize, I would like to clarify that creating an effective action plan is a key factor in achieving success in any area of life, this article will help you not only to set goals, but also to achieve them with maximum benefit and efficiency. Don’t forget to share the information with your friends and colleagues.
